Managing Offer Details

This section lets you shape how your offer is presented. You can describe the experience in your own words, add images that showcase it, and include any important information guests or staff should know, such as guidelines or cancellation terms.

Once you have added the name of the offer, you can proceed to choosing THE TYPE of your offer. 

- The offer type defines what kind of experience you’re creating. Choose the category that best matches your offer so the system can display it correctly and apply suitable settings. Whether it’s a tasting, dining experience, event, menu option, or a simple reservation, selecting the right type helps guests immediately understand what you’re offering.

THE DESCRIPTION is where you briefly introduce what the offer includes. Write a clear, inviting summary that helps guests understand the experience at a glance. This text appears on your booking widget, so keep it concise, appealing, and focused on what makes the offer special.

You can enhance your offer by UPLOADING PHOTOS that visually represent what guests can expect. Choose images that best showcase the experience, as these will appear on your booking widget.

Below the photos, you can add any additional NOTES AND CONDITIONS guests should be aware of, followed by a brief CANCELLATION POLICY.

When everything is set, you can open the Advanced settings if you need more detailed configuration or simply save the offer as it is.

THE ADVANCED SETTINGS

Advanced settings give you more control over how the offer behaves in your reservation system. You can add custom tags for internal organization, choose how bookings should be accepted, and define whether the offer is sold per person or as a package. You can also set a primary color for easier visual identification, group this offer with others for shared availability, and define how early guests must book. Here, you can adjust the maximum visit duration, add extra time for larger groups, and choose between capacity-based or resource-based scheduling. Finally, you can link the offer to a POS item code if your venue uses a connected point-of-sale system.

ACCEPT POLICY determines how incoming reservations for this offer are handled:

AUTO
Reservations are confirmed instantly. Guests book and receive immediate confirmation without any action from the venue. Best for standard offers where availability is predictable.

TIMEOUT_ACCEPT
Reservations are confirmed automatically only if the venue does not respond within a set time window. This gives the team a chance to manually review requests, while still avoiding situations where guests wait too long without an answer.

CONFIRMATION
Reservations stay pending until the venue manually accepts or declines them. No booking becomes valid unless the team approves it. Ideal for limited-capacity or highly curated offers.

SALE UNIT

The sale unit defines what exactly the guest is booking when they select this offer. Eventlin supports three structures:

COVER

The booking is counted per person.
Use this when the offer is priced or managed individually - for example, “€12 per guest for the Four Slice Tuesday tasting.”
Every guest equals one cover.

PACKAGE

The booking is counted as a whole unit, regardless of how many people participate.
Use this for fixed bundles such as “Brunch for Two,” “Chef’s Tasting for 4,” or “Private Room Package.”
One package = one booking.

EXTRA

The booking is treated as an add-on that supplements another offer.
Use this for optional upgrades like “Coffee refill,” “Souvenir jar,” or “Add a slice.”
Extras do not define the reservation - they enhance it.

PRIMARY COLOR

This setting lets you choose the color that will visually represent the offer inside Eventlin. The selected color highlights the offer in your calendar, availability view, and widgets, making it easy to distinguish from other offers at a glance. Pick a shade that fits your branding or helps staff quickly recognize this specific experience.

Time-related settings

Min in advance
This defines how far ahead a guest must book before the offer starts. If you set “30 minutes,” guests cannot book last-minute within that window.

Max duration (2 persons)
This sets how long the table is reserved for two guests booking this offer. Once this time expires, the table becomes available for the next reservation.

Additional max duration (+2 persons)
If more people join the booking, this value adds extra time to the reservation. For example, a group of four would receive the base duration plus this additional time.

Dining Dialog – Scheduling Mode

Capacity Based
This option schedules reservations based on how many seats are available in your venue. The system looks at your total guest capacity and allocates bookings until that limit is reached. Use this when your offer is not tied to a specific table or resource, but simply to overall space and time.

Resource Based
This option schedules reservations based on specific resources, such as individual tables, rooms, or equipment. Each booking is tied to a particular resource, and availability depends on whether that resource is free. Use this when the offer requires assigning a specific table or area instead of general seating capacity.

POS Item

This field lets you link the offer to the corresponding item in your POS system.
Enter the code or label your staff will recognize at checkout.
For example, “FST” works well for Four Slice Tuesday.

Don’t forget to save!

Once all settings are adjusted, tap Save at the bottom of the screen to make sure your offer and all changes are stored.
